The E-Verify portal is a beneficial tool for employers to easily and quickly complete the verification process for employment. E-verify is used by organizations during the hiring process and quickly verifies the information provided on Form I-9, Employment Eligibility Verification with information held by the Department of Homeland Security (DHS) and the Social Security Administration.
As individuals change companies, it is imperative the user is removed from the previous employer. Individuals are not to use a pre-existing portal for a previous employer to complete the E-Verify process. As individuals change employers, their account should be immediately terminated. If the individual moves to a different employer and continues to utilize the E-Verify portal, a new account must be created, associated with the new employer.
Best practices include regular reviews of accounts created related to each employer. At a minimum, a review should be completed whenever staffing changes occur. However, a regular review is beneficial to ensure only those who actively use the portal have an active account. Remember to delete accounts for individuals who have left the organization or who no longer use the portal. Likewise, create new accounts for individuals who may have joined the organization and their role requires them to have access.
Failure to comply with these requirements results in being out of compliance and is a violation of the E-Verify memorandum of understanding. For program administrators, this is a reminder that the E-Verify account is associated with your employer. If you change employers, a new account must be created. Individuals are not to use a previous employer’s account to create cases for a new employer.
